Who can connect WorshipBoard

Every member of your church can connect WorshipBoard. Sermon notes and members-only events go only to staff and your serving teams, and only people you set to Can edit change the church's library.

In this article

Anyone in your church can connect a computer to WorshipBoard and use your church's songs, schedules and themes. What they see and what they can change depends on who they are.

WorshipBoard syncs on any paid plan. On the free plan nothing syncs, for anyone.

Why it can't connect

Someone who can't connect sees why on the sign-in page:

  • Your account is waiting for approval. Approve them under People.
  • Members only. They're listed as a visitor. Open them in People and change their role to member.
  • Your account can't connect. Their account is blocked. Unblock them in People.

Then ask them to click Sign in in WorshipBoard again.

Show someone the sermon notes

Sermon notes, notes on the service and on each item, and members-only events go to people on a serving team. Serving teams live under Services, not Groups. You need to be staff or that team's leader.

  1. Open Services in the sidebar. Scroll down to Teams and open the team. If you don't have a team yet, see "No teams yet" below.
  2. Go to the People tab.
  3. Type their name in Add someone from the church… and pick them.

Their computer picks it up on its next sync. If you've already put someone on a position in a team's rotation, they're on that team.

People set to Can edit see the notes too, because they can save schedules back to the church.

No teams yet

Open Services, open one of your recurring services, and go to its Rotations tab. Click Add a team, give it a name like "Worship" or "Media", and choose a leader. The team leader can then add their own people from My team.

The team works like a group with its own chat. It doesn't show up in your public group listings, and people can't ask to join it.

Presenting or changing the library

Connecting and changing are separate. Everyone who connects can present. To let someone also save songs, schedules, themes and presentations back to your church, an admin opens them under People and picks Can edit in the WorshipBoard section. Everyone else is Can present: anything they change stays on their own computer.

When a connected computer stops syncing

WorshipBoard re-checks the person who connected the computer every time it syncs. It stops syncing, and asks to sign in again, when that person is made a visitor, or is blocked, archived or deactivated. Leaving a serving team doesn't sign them out; the sermon notes and members-only events just stop arriving.

To see which computers are connected, and to remove one, open WorshipBoard settings and go to the Connection tab.
