1. Acceptance of Terms
By creating an account or using EasyChurchApp (“the Service,” “we,” “us,” or “our”), you agree to be bound by these Terms & Conditions. If you do not agree, do not use the Service. These terms apply to all users: churches and church administrators who subscribe to the Service, and individual members and visitors who use a church’s public website or mobile app. Sections 2 (Christian Community Requirement), 3 (Pricing), 4 (Cancellation), 8 (Indemnification), and 11 (Governing Law) apply primarily to the subscribing church account. All other sections apply to every user.
1a. Account Eligibility & Children
Minimum age. You must be at least 13 years old to create an EasyChurchApp account. The mobile app collects your date of birth at signup and will reject account creation if the calculated age is under 13. We do not knowingly permit account creation by anyone under 13.
Children & family profiles. Children under 13 are not users of the Service. A parent or legal guardian with an account may add records about their minor children — for the purposes of church check-in, allergy/medical notes, and event registration — via the mobile app’s “My Family” feature. By adding a child, you represent and warrant that you are the child’s parent or legal guardian and have the authority to provide the information. This child record is not a separate user account, has no login credentials, and is visible only to you and to authorized administrators of your church.
Teens 13–17. Users aged 13 to 17 may create their own accounts but may not add child profiles to the My Family feature, and may have access to features (e.g. direct messaging) at the discretion of their church’s administrators.
If you discover an underage account has been created on the Service, please notify us at support@easychurchapp.com and we will remove it promptly.
2. Christian Community Requirement
EasyChurchApp is built exclusively for Christian churches and faith communities. By using the Service, your organization affirms the following historic Christian beliefs, consistent with the Nicene Creed (325/381 AD):
- One God existing eternally as three persons — Father, Son, and Holy Spirit (the Trinity)
- Jesus Christ is fully God and fully man — not a created being, not merely a good teacher
- Jesus was born of a virgin, lived a sinless life, and died on the cross as the sufficient payment for sin
- Jesus physically rose from the dead and ascended to heaven
- Salvation is by grace through faith in Jesus Christ — not by works or ritual alone
- Jesus will physically return to judge the living and the dead
- The Bible is the inspired and authoritative Word of God
We welcome any gospel-preaching church regardless of denomination. We reserve the right to terminate accounts for organizations that do not hold to these beliefs, in our sole discretion.
3. Pricing and Plan Changes
We reserve the right to change the pricing of any plan — including the Free, Website, and App plans — at any time. We will provide at least 30 days’ advance notice via email before any price increase takes effect for existing subscribers. Continued use of the Service after a price change constitutes acceptance of the new pricing.
We also reserve the right to modify, add, or remove features from any plan at any time. We will make reasonable efforts to communicate significant feature changes in advance but are not obligated to maintain any specific feature set indefinitely.
4. Cancellation and Termination
By you: You may cancel your account at any time. Cancellation of a paid plan takes effect at the end of the current billing cycle. We do not offer prorated refunds for partial billing periods.
By us: We reserve the right to suspend or terminate your account at any time for any reason, including but not limited to: violation of these Terms, non-payment, abuse of the platform, or our decision to discontinue the Service. We will make reasonable efforts to provide advance notice before termination, except in cases involving abuse or legal requirements.
Service discontinuation: We reserve the right to discontinue EasyChurchApp entirely. In such a case, we will provide at least 60 days’ notice to active users and will make reasonable efforts to assist with data export.
5. Your Content and Data
You retain ownership of all content you upload or create through the Service, including church information, events, sermons, images, and member data. By using the Service, you grant us a limited license to store, display, and transmit your content as necessary to provide the Service.
You are solely responsible for the content you publish. You agree not to use the Service to:
- Post or distribute content that is unlawful, defamatory, harassing, threatening, obscene, or that infringes on the intellectual property rights of others
- Send spam, unsolicited bulk email, or violate anti-spam laws (CAN-SPAM, CASL, etc.)
- Upload malware, viruses, or any code designed to disrupt or gain unauthorized access
- Impersonate any person or entity, or misrepresent your affiliation with a church
- Use the platform to harvest contact information, scrape data, or circumvent rate limits
Upon cancellation or termination, we will make your data available for export for 30 days before permanently deleting it. You can export your data at any time via Admin → Settings → Export.
5a. Community Standards & Moderation
EasyChurchApp is a tool for Christian congregations. We expect members to treat one another with respect inside the platform’s social surfaces — direct messages, group chats, prayer requests, and any other member-generated content. We do not tolerate objectionable content, including but not limited to: harassment, hate speech, sexually explicit material, graphic violence, threats, encouragement of self-harm, spam, or content that infringes on others’ intellectual property rights.
Member controls. Every user can block any other user in their church (from the message long-press menu or from Settings → Blocked users). Blocked users cannot direct-message you, and their messages are hidden from your view of group chats and prayer feeds. Every user can also report any specific message, prayer request, or user that violates these standards. Reports go directly to your church’s administrators.
Admin moderation. Church administrators receive reports in their admin dashboard (Moderation) and are expected to review and act on them within 24 hours. Administrators can remove any message, archive any prayer request, and remove any member from the congregation at any time.
Automated filtering. All new chat messages, direct messages, and prayer requests are scanned for objectionable terms before being posted. Matches are filtered automatically.
Reporting to us. If a church’s administrators do not act on a report, or if you encounter objectionable content and the church administrators are themselves unresponsive, email support@easychurchapp.com and we will investigate. We reserve the right to remove content and suspend accounts at the platform level.
6. Limitation of Liability
To the maximum extent permitted by applicable law, EasyChurchApp and its operators shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to:
- Loss of data, revenue, or profits
- Damage to your church’s reputation or relationships
- Harm arising from the actions of your church staff, volunteers, or members using the platform
- Service interruptions, data loss, or security breaches beyond our reasonable control
- Actions taken by third-party services integrated with or linked from the platform (including but not limited to Stripe, YouTube, or email providers)
Our total liability to you for any claim arising from use of the Service shall not exceed the greater of (a) the amount you paid us in the three months preceding the claim, or (b) US $100.
7. No Warranty
The Service is provided “as is” and “as available” without warranty of any kind. We do not warrant that the Service will be uninterrupted, error-free, or free of harmful components. We make no guarantees regarding uptime, data preservation, or fitness for any particular purpose.
8. Indemnification
You agree to indemnify and hold harmless EasyChurchApp and its operators from any claims, damages, liabilities, costs, or expenses (including reasonable attorney fees) arising from: your use of the Service, your content, your violation of these Terms, or any actions taken by your staff, volunteers, or congregation members through your church account.
9. Privacy
We collect and use data as described in our Privacy Policy. By using the Service, you consent to the collection and use of your church’s information as outlined there. We do not sell your data to third parties.
10. Changes to These Terms
We reserve the right to update these Terms at any time. We will notify you of material changes via email or a prominent notice in your admin dashboard. Continued use of the Service after changes become effective constitutes acceptance of the revised Terms. We recommend checking this page periodically.
11. Governing Law & Jurisdiction
These Terms are governed by the laws of the State of Idaho, United States, without regard to its conflict-of-law principles. You agree that any dispute arising from these Terms or your use of the Service shall be resolved exclusively in the state or federal courts located in Idaho, and you consent to personal jurisdiction in those courts.
12. Not a HIPAA Business Associate
EasyChurchApp is not a HIPAA Covered Entity or Business Associate. Do not use the Service to store, transmit, or process Protected Health Information (PHI) as defined under the Health Insurance Portability and Accountability Act. We do not sign Business Associate Agreements (BAAs), and PHI uploaded to the platform is at your own risk. Member health-related fields such as allergy or medical notes on child profiles are intended for caregiving convenience, not clinical record-keeping.
13. Copyright & DMCA Takedown
We respect copyright. If you believe content hosted on a church site or member-uploaded media on the platform infringes your copyright, send a written notice including: (a) a description of the copyrighted work, (b) the URL or precise location of the allegedly infringing material, (c) your contact information, (d) a statement that you have a good-faith belief the use is not authorized, (e) a statement under penalty of perjury that the information is accurate and that you are the rightsholder or authorized to act on their behalf, and (f) your signature (electronic is acceptable). Send notices to support@easychurchapp.com. We will respond to valid notices in accordance with the DMCA (17 U.S.C. § 512). Counter-notices may be sent to the same address.
