Year-end giving statements

What has to be on a statement, how to send them all at once, and the one field to check before you do.

In this article

Every January your givers need a statement of what they gave. This takes about a minute once, instead of an afternoon.

Check this first

Your statement carries your church name, address and EIN. The EIN is the one people forget, and a statement without it is less useful to a giver who itemises.

Set it in Church details (Settings, then Church) before you generate anything. Fixing it afterwards means re-sending, and re-sending a tax document makes people wonder which one is right.

Sending them

You do this from the Statements tab on the Giving page. You can generate one donor's statement at a time, or send the whole year at once: every donor gets their own PDF, by email, covering the period you choose.

You can also pick a custom date range instead of a calendar year, which is occasionally what somebody needs mid-year for a mortgage application.

If you send the year-end batch twice, donors who already got one will receive it again. That is intended: an earlier send may have covered a partial year, and the later one is more complete. It does mean you should not run the batch casually: pick your moment, and send once.

The $250 rule

US tax law asks for written acknowledgement from the church for any single gift of $250 or more, and a giver cannot claim one without it.

The practical consequence is on the giving page rather than the statement: above that threshold, a giver who is not signed in cannot give anonymously, because an anonymous gift is one the church cannot acknowledge. A signed-in member can still choose to be anonymous to other people: you have their identity either way, so the acknowledgement is still possible.

What is actually on it

Every gift in the period, with its date, fund, how often it repeats, any note the giver added, and the amount, plus the total. A giver's anonymous gifts still appear on their own statement; a donor whose only gifts were anonymous isn't included when you send statements to everyone.

Members can pull their own statement from their giving screen whenever they want, which is worth telling them in the same announcement. Roughly half the January requests to the office are from people who could have got it themselves in ten seconds.

Timing

Send in the first half of January. Late enough that December has settled, early enough to be ahead of the people who file immediately.

One announcement when they go out, one line on the website, and then let the self-service link absorb the stragglers.

We are not your accountant

This produces an accurate record of what was given through this platform. It does not know about cash in the plate, a stock transfer, or a gift somebody posted a cheque for unless that was entered too, and whether a particular gift is deductible is a question for your accountant, not for us.
