Plan a service and its team

Build each Sunday's order of service, put a team on it, and send the invitations in one go. Your volunteers accept from their phone and see the plan.

In this article

Services in the sidebar lists your upcoming services week by week. Each week shows whether it has a plan yet and how full its team is. Open a service to plan it.

Services come from your calendar. Your weekly service needs to be a recurring event with the type Worship Service, and then every week of it shows up here. A one-off service, like Christmas Eve, works the same way.

The order of service

On the Order tab, add what happens in the order it happens: songs from your library (each with its key), a Scripture reading with its passage, the sermon, announcements, and headers to split the service into parts. Give an item a length and every item shows the time it starts, so you can see when the service ends.

If last week's service was a lot like this one, Copy it, then change what's different. The songs and keys come across, but the people don't.

Notes for the team is for what everyone serving should know: call times, where to park, what to wear.

The song library

Open Song library from Services to see every song you sing, with when you last sang it and when it's next on a plan. Open a song to set its key, tempo and CCLI number, add a link to a recording, and type its lyrics by section. On a paid plan, the lyrics go to WorshipBoard for the screens.

Under Charts and files, upload chord charts and lead sheets as PDFs or photos, up to 10 MB each, and say which key each one is in. Everyone serving on a service with that song sees its charts and the recording on their plan.

Your CCLI report

From the Song library, open CCLI report and pick a period. It lists each song you sang, its CCLI number and how many services it was in. Services that were cancelled, or haven't happened yet, aren't counted. Download CSV to keep a copy, then enter the songs at CCLI Reporting. Songs without a CCLI number say Add number.

The team

On the Team tab, add the positions this service needs, like Worship leader, Sound or Greeters, and how many people each one needs. Then add people to each position.

Nobody hears anything while you're building the team. When it's ready, press Send invitations. Each person gets a message asking them to accept or decline, and a reminder before the service.

While you build it:

  • Away next to a name means they marked that date as a day they're away.
  • Waiting means they haven't answered yet, Confirmed means they said yes.
  • Can't make it means they asked to step out. Release takes them off and opens the spot; Keep tells them you still need them.

To see who's serving over the coming weeks, open the service and use its Schedule tab.

Rehearsals

On the Rehearsals tab, add a rehearsal, setup or teardown time. Everyone on the team sees it on the plan, and their invitation mentions it.

What your volunteers see

Volunteers find each service they're serving on in their own schedule, with See the service plan. The plan shows their position (with Accept and Decline until they answer), the order with start times, each song's charts and recording, the notes, the rehearsals and who else is serving. Only people on the team, and your staff, can open it.

Volunteers can also add the dates they're away. You'll see Away next to their name when you plan those weeks.

WorshipBoard

On a paid plan, if you use WorshipBoard, it gets the same order of songs and readings for each upcoming service, updated whenever the plan changes. What you add in WorshipBoard stays: a background or theme on a song, a video, sermon notes. The order and the songs themselves come from the plan, so change those here.

If you built a Sunday in WorshipBoard before planning it here, open it in Services and the plan starts from what's in WorshipBoard. You won't end up with two.
